Connect your email account
All emails sent from the IR platform are sent from your personal/professional email account. This way, you can see all emails sent in your normal email outbox and reply directly from your main email account.
Steps on how to connect your email account:
- Log in to your account.
- At the bottom left-hand corner click on the → icon next to your name.
- Click on settings and go to Email Settings.
4. Click the connect email account button and enter your email address and click Sign in with Google (business, personal, education), for another type of account click on the non-Gmail account button.
5. Log in to your account and accept the permissions.
6. Click Make Primary.
When you finish, you will see that your email account status is “Partial” for several minutes. It is recommended that you wait until the status changes to "Running" before sending any emails.
Add your Signature
We strongly encourage clients to add a signature to make emails more personal and professional.
Steps on how to add a signature:
- Under the Email Settings tab, next to your email address click Create Signature
- Create your signature from scratch or you can copy and paste an existing one
We recommend something simple like the following:
John Smith
Communications Associate
Company Name | Example.com
3. Click the Save button.
Note: We recommend adding the unsubscribe button to your signature to make it easier for journalists to request to stop receiving emails from that email address.
Set times for sending emails
You can set or change the times of day you want the platform to send emails and follow-ups.
- On the same page, scroll down to Sending Times below the Email Signature section.
- Check the Only Send Emails Between box to select a time range for sending emails. You can also choose which days you would like emails to be sent.
- By default, all days are selected, so click on the days you don’t want emails to be sent. Emails you draft on those days will be delayed until the days you choose as sending days.
Unsubscribe journalists
If you’ve received an unsubscribe request from a journalist, they will be listed here. Otherwise, you can unsubscribe journalists manually.
- Go to Platform Journalists and click “New Unsubscribe.”
- Search journalists by name to see a dropdown list of journalists with that name that you can choose from to unsubscribe them from all future campaigns.
- If you want to unsubscribe a journalist that’s not listed in the platform, scroll down to “Uploaded Journalists” and click “New Unsubscribe.” Type in the journalist’s full name and email to unsubscribe them from any future campaigns.
- Alternatively, upload a CSV file with a list of journalists you want to unsubscribe.
